General Rental Information
Terms and conditions
Approved members of Water Street Profile can rent space, meeting rooms, event space or other resources based on its availability and approved use. If any use of the space or nature of the event is deemed to be in conflict with the use and privileges of the WSP full time tenants or WSP members, WSP reserves right to refuse or cancel any rental without notice. WSP is a shared and Coworking space and the use of the offices and common space must reflect this fact. Users of the space must comply with all applicable City by-laws and Federal and Provincial legislation, including the British Columbia Human Rights Code which prohibits discriminatory conduct including conduct that would expose persons or groups to hatred or contempt.
When inquiring about space booking please have the date, time, amount of people attending and type of use or the nature of the event available.

Payment
An advance payment deposit equivalent to the meeting room or event rental is required to confirm the function on a definite basis. Payment may be made by certified bank draft or cheque or cash, or payment online. Close this window to return.
Damage Deposit and Insurance
There will be a $100 refundable damage/security deposit for all events and $20 refundable cleanup/security deposit for all meeting rentals. Rental groups are responsible for their liability insurance and WSP is not liable for any personal belongings, equipment etc. of the rental group which are lost or damaged. The rental group is responsible for any damages of any amount not limited to the $100 deposit to the premises by their invited guests or independent contractors during the time the premises are under their control. Prior to the event said client and a representative of WSP will inspect the room and both will sign a written consent as to the condition. Damage deposit refunds will be issued in person 5 days after the event.

Facility
No rental group is allowed to modify the premises in any way such as taping, stapling, nailing or pinning to the tables, chairs, walls, floors or ceilings. Exceptions such as masking tape or scotch tape on areas that are glass and can be easily removed. There is no removal of electrical panel covers to gain access to circuit breakers for the connection of sound and/or lighting equipment. No moving or re-arranging of larger furniture unless prior approval is granted.
Entrance and Keys
Members of WSP shall under no circumstance give keys or fobs to event guests. Entrance must be monitored for guests entering and exiting the space for use of the washrooms. Outside doors are locked after 7pm, therefore there is no outside access to guests unless the rental group provides supervised access using security FOB.
Fire Regulations
The City of Vancouver’s Fire and Safety Regulations set limits of the capacity allowed in the rooms. It is the responsibility of the renter to ensure that the limit is not exceeded (*see table).
Violation of the set limit will result in cancellation of the event and forfeiture of the deposit. Access to all doors must be kept clear.
Liquor
Those serving alcohol must present a liquor permit prior to the rental date. You can contact the Hospitality Industry Education Committee at (604) 298-8889. A valid Provincial liquor Permit must be presented to the rental supervisor prior to the function or the event will be cancelled and the deposit forfeited.
WSP Café lounge
The WSP Café is primarily for use as a coffee area and “serving” area for cold plates and appetizer style food (please see food policy below). The Centre does not have a commercial kitchen facility, therefore food cannot be prepared in the Centre, but can be brought in (catering etc.). The Café/kitchen must be cleaned including washing the counters, wiping the fridge, cleaning the sinks, loading the dish washer, sweeping the floor.
Food policy
WSP does not allow hot food or full course dinner style food serving or catering. Light snacks, cold plates, catered sandwiches are allowed. WSP requires notice and description of the food planned by the rental group and reserves the right to allow or refuse the food request.
NO powder, wax or any other item is to be put on the floor without prior permission. The rental group is responsible for set up and take down of the tables and chairs for their event. All refuse including decorations has to be cleared and deposited in the outside garbage container. Use of tables and chairs included in the rental price
Equipment
Based on capacity allowed per event and availability, WSP will provide tables and chairs. Other specific equipment needs of the rental group can be identified on the rental application and discussed with the Staff. Groups are responsible for set-up and putting away all furniture and equipment used in the proper place during their rental time.
Setup and Cleanup
The rental space must be left clean and tidy (floors swept, all garbage in the garbage can and if necessary garbage bags). Failure to follow these procedures will result in forfeiting damage deposit. The rental group will be held responsible for any breakages or damage to the facilities or equipment.
Advertisement
The rental group may use the name: “Water Street Profile” or its phone number on any promotional material with written permission from WSP. For directions to the event, promotional material may refer to the Space as: “a rented event space at Water Street Profile, 375 Water Street, Vancouver, BC”.
Solicitation of goods, services, political beliefs or religious beliefs is prohibited without written permission from WSP.
